Children's Information:
When booking your child/children into Kidz4Ever, the person booking them is responsible for ensuring all information is correct at that given time and to update us as soon as possible if any information changes or new information needs to be added.
We ask that the information provided is accurate in regards to medical history, special educational needs, and emergency contact details. Kidz4Ever may refuse a booking if we are not provided with the information that is required when booking your child/children on to Kidz4Ever.
Payments:
Kidz4Ever accepts payments via Bank Transfers, Card Payment, Childcare vouchers, Tax-Free Childcare and Childcare Grant Payment Service. All payments are to be made before your child/children attend Kidz4Ever via the preferred list above.
You can pay on the first day that your child/children attends but this must be paid in full before your child/children can enter Kidz4Ever. Kidz4Ever has a right to refuse entry if payment is not paid in full before your child attends as they will not be insured under our new Insurance conditions.
Childcare Vouchers:
If you are paying through childcare vouchers, we ask you to please contact the provider once you have received an invoice from us. When paying with childcare vouchers it may take up to 5 working days to be processed, please let us know once this transaction has been set up so we can keep an eye out for payment.
If you are unsure if we accept the childcare voucher that you use, please get in contact and we will be happy to advise.
Waiting List:
If a day is fully booked, Kidz4Ever will contact parents/guardians to inform them of this. Parents/carers can choose to be placed on a waiting list. If a spot becomes available due to a cancellation, Kidz4Ever will contact individuals on a first-come, first-serve basis.
Cancellation:
If you are required to cancel a day/days at Kidz4Ever for any reason, please contact Kidz4Ever via email or phone. Please provide the relevant details such as the child's name, booking dates, and reason for cancellation. We ask that you give us 48 hours' notice prior to the scheduled dates booked.
If cancellations are made within the notice period, you will be eligible for a full refund of the day/days that are cancelled.
Kidz4Ever acknowledges that children fall ill and there may be exceptional circumstances such as family requirements that require cancellation. Parents/guardians should communicate these situations as soon as possible, and decisions regarding refunds or rescheduling will be made on a case-by-case basis.
Cancellations made after the 48 hour notice may result in a partial refund or no refund depending on the circumstances.
If your child attends only part of a session due to early departure or late arrival, no refund will be provided for the missed hours.
Special Savers:
All special savers must be chosen when booking and paid for before or on the first day that your child/children attends Kidz4Ever.
Special savers include full weeks, family deals and super saver over more than one week bookings.
If a family deal has used at deal and only one child attends, the sibling discounts will be recalculated and credit may be issued if the 48 hour notice is given prior.
Late Collection:
Parents and carers must collect their child at the collection time which has been arranged. If you expect you will be late collecting your child from our care at Kidz4Ever, please call at your earliest convenience and discuss the possible arrangements with management.
When a child is booked into Kidz4Ever, we ask parents to complete a collection arrangement form/ password system with a list of possible adults (family/friends) who could collect the child in the instant the parents are unable to collect.
If Kidz4Ever cannot get in contact with yourself or other contacts that are listed for your child by 6:30pm we will get in contact with social services to inform them that we have a child who has not been collected from our care. If your child is not collected by 6pm you will be charged £5 for every 15 minutes late per child.
Kidz4Ever has a right to refuse any future bookings if you collect your child late on a regular basis. If the payment is not made on the same evening, then there will be a £5.00 daily penalty per child.
Packed Lunches:
If you do decide to provide your child with a packed lunch. We ask that products which include peanuts, tree nuts, nut butters, nut-based snacks, and any food item that contains nuts or may contain nuts as an ingredient are not brought into camp. Parents and carers are responsible for ensuring that their child's packed lunch and snacks are free of nuts, may contain nuts and nut-containing products. Please check the allergy advice under the ingredients.
We ask that there is a refillable bottle for each child. Kidz4Ever provides a water station for the children to refill their bottles throughout the day. In the hotter month if possible, we ask you to add an icepack to your child's lunches to ensure that perishable food is kept fresh.
Around about 3pm each day we provide a tuck shop which is optional. The child can spend a maximum of £1 a day. We ask the children to hand in their tuck money at the beginning of the day to ensure that their money is not lost.
Kidz4Ever take no any responsibility for tuck money being lost.
No Nuts:
Kidz4Ever is a nut-free camp. We have taken every precaution to ensure no nuts are brought onto the premises.
We kindly ask that all parents/carers check the labels on food and drinks and anything that may contain: nuts, peanuts or traces of nuts or traces of tree nuts is not brought onto our premises (please check the allergy advice on the packing).
If any item of food does not have an ingredient list on the back of the product we ask that you show us proof of the ingredients list either via email or by cutting out the ingredient list from the outer packing.
If in any case, a child has an item that has nuts or states may contain nuts or has no ingredients listed, Kidz4Ever will replace this item with a suitable alternative.
No child will go hungry.
Illnesses & First Aid:
If your child/children are unwell, Kidz4Ever ask that they are to be kept at home and do not attend for at least 48 hours after their last symptoms or last episode of sickness or diarrhoea this is to help prevent the spread of illness.
Kidz4Ever will only administer medication which has been prescribed by a doctor or other healthcare professionals. If your child/children require medicine to be administered while they attend Kidz4Ever you will need to complete a medication form. All medication must be handed in, in the morning when your child attends this includes: EpiPen and Asthma pumps.
All medication must be in the original packing with a clear name and instruction label from the pharmacy.
In any case of accident or emergency, Kidz4Ever will administer first aid where appropriate and the emergency services will be called if required.
Kidz4Ever first aid policies are in line with OFSTED's Framework in regards to at least one paediatric first aider on-site at any time. In the event of an emergency during a day at Kidz4Ever, parents/guardians will be contacted immediately. If a child needs to be picked up due to illness or other unforeseen circumstances, no refund will be provided for the missed time. Parents/Guardians are responsible for ensuring that their child is in good health and are able to participate in the activities which are on offer at Kidz4Ever
Staff Ratios:
As an OFSTED registered childcare provider, we are restricted to the number and ages of children that we can care for at any one time. In one day we can have up to 40 children but this is depending on the ages of children who attend in line with the adult-to-child ratio.
Children who attend Kidz4Ever should be 4 before they start and can use our facilities until their 13th birthday.
If you decide that you would like your child to attend Kidz4Ever, we will do our best to accommodate them within our ratios of 1:8 for children aged under 5 and 1:12 for children aged 5 to 12 years.
Kidz4Ever will never exceed the legal limit of ratio to children.
At Kidz4Ever your child/children will be in groups for activities so there will be at least two staff leaders within the activity at one time. On some days there may be 1 or more junior volunteers at Kidz4Ever to help assist the leaders with setting up/packing away and joining in with activities.
Scheduled Activities:
In some cases, the planned activities may be affected by a number of different factors e.g., poor weather conditions which are out of our control. If for any reason, we have to change any activities Kidz4Ever will do their best to keep parents/carers informed and provide other activities for your children to enjoy.
All schedules will be released on our different social media platforms and will be attached to the emails sent out with a booking link. If you are unsure of what an activity is, please get in contact and Kidz4Ever will always be happy to explain.
Complaints:
At Kidz4Ever we pride ourselves on providing a high standard of care for all the children that attend. We ensure that the children have the most fun filled day and want to return. However, if there is any aspect of our service that does not meet your expectations, we are more than happy to discuss this with you.
If you feel comfortable communicating this verbally, we can resolve the issue right away.

If your child is still attending Kidz4Ever please speak to one of the managers on the day where we will try and do everything in our power to resolve the problem.
Kidz4Ever takes complaints very seriously. Refunds or compensation will only be given if there is evidence that Kidz4Ever have broken these terms and conditions.
Verbal abuse or threatening behaviour towards any staff member of Kidz4Ever will not be tolerated and you will be asked to leave the premises.
Lost Property:
You are responsible for all your child's/children's belongings when they leave Kidz4Ever. If any items are lost, please inform a member of staff so we can look once all the children have left, in the hopes of returning this item when you next attend.
Any lost property left after any holidays will be kept for 3 holidays and if it is not collected Kidz4Ever will donate it to the local charity shop if there is no name in the item.
Videos/Photos:
During the holidays we take photos and videos for promotional and advertising purposes only. Videos and photos will only be taken on the Kidz4Ever phone. No other devices or mobile phones will be permitted to be used.
If you do not wish for your child/children to be in photos or videos we ask that you inform us when booking so we can mark it on our database.
With the photos and videos that we take they will be posted to our social media platforms to allow parents/carers to see at the end of each half term or school holiday.
Extreme Weather:
If we experience extreme weather, we have a duty of care to ensure your child's safety and well-being is adhered to.
During the hotter months, your child will have access to plenty of shade while being outside as well as, regular drink breaks to ensure your child is hydrated. Kidz4Ever provides water stations where your children are able to fill up their bottles. If your child forgets their water bottle, we will provide them with a cup.
During the hotter months appropriate clothing and footwear should be worn such as sun hats and light clothing. Please ensure that all items are labelled. Sun cream should be applied before your child attends Kidz4Ever. When going outside children will be told to apply more which is supervised by a staff leader.
When bringing sun cream, we ask that it is labelled with your child's name to prevent it going missing.
During the colder months we will assess the conditions when going outdoors but we do ask that appropriate clothing is supplied by parents/carers such as: winter hats, gloves, and a warm coat.
Data Protection:
For Kidz4Ever to process your booking we must collect personal information about you and your child/children. All information provided is kept confidential and secure in line with UK legislation. Kidz4Ever will use your email and phone number to contact you with relevant information and services or if we need information from you regarding your child/children welfare and wellbeing.
Safeguarding:
Safeguarding is taken very seriously at Kidz4Ever, and any allegations of child abuse or neglect will be investigated and will be reported to OFSTED and/or the local authorities.
Policies & Procedures:
Kidz4Ever Policies & Procedures will be available every half term and school holiday as a hard copy. A copy of our policies and procedures are available on request.
Law:
At any time, the government guidance may change which could impact us on opening. If this situation does occur there will be no way we can legally run.
Kidz4Ever will make sure everything is in place to ensure we are ready if the government guidance changes, and a situation occurs.
School Has A Right To Cancel Our Contract:
At any point during our contract with the school, they can terminate our contract without given notice. If this does occur, you will be informed as soon as possible and if you have paid in advance for our services, you will be refunded.
